How to prepare a transport quote request

A good transport inquiry contains five key pieces of information: where the cargo goes from and to, how much it weighs, its dimensions, when it needs to arrive, and what is being transported. A complete inquiry allows you to receive a quote faster and avoid additional questions.

What should the inquiry contain

01

Loading and unloading location

Exact address or postal code, country. The more precise, the faster the quote.

02

Weight and dimensions of cargo

Gross weight in kg, dimensions of pallets or packages (L x W x H), number of pallet spaces.

03

Delivery timeline

Loading date and expected delivery date. Information on whether the date is flexible.

04

Cargo type

What you are transporting: dry goods, refrigerated, ADR, oversized. This affects vehicle selection.

05

Special requirements

Tail lift, GPS, customs documents, additional insurance, delivery notification.

Most common mistakes in inquiries

These gaps most often delay the quote:

No weight information, makes vehicle selection and pricing impossible
Providing only the city without country or postal code
No information about cargo type (e.g., refrigerated vs. curtainside)
Unspecified delivery timeline, unclear if urgent or planned

How to speed up the quote

The quote is faster when the inquiry is complete. Here is what else helps:

Send the inquiry from a company email address
Attach a packing list or cargo specification
Indicate whether you need a one-time or regular transport
Mark whether the cargo requires customs documents
